Undo & Recovery
Most actions in Praxi can be undone within a defined time window. This guide explains which actions are reversible, how to trigger an undo, and what to do when the undo window has expired.
Reversible Actions
Reversible actions have a paired "undo" action that restores the previous state. For example, "Archive Client" is reversed by "Restore Client", and "Create Invoice" is reversed by "Void Invoice".
Time Windows by Category
Each action category has a default undo window. Once the window expires, the action can no longer be automatically reversed.
| Category | Undo Window | Example Actions |
|---|---|---|
| Billing | 15 minutes | Create invoice, record payment, apply discount |
| Communication | 5 minutes | Send email, send SMS |
| Clinical Notes | 1 hour | Create note, update note content |
| Client Management | 30 minutes | Archive client, update demographics, merge records |
| Appointments | 1 hour | Cancel appointment, reschedule, change status |
| Tasks | 1 hour | Create task, reassign, change priority |
| Assessments | 1 hour | Assign or cancel an assessment |
| Files | 30 minutes | Upload or archive a file |
These windows represent the maximum time during which a one-click undo is available. After the window expires, changes may still be reversible through manual action or by contacting support, depending on the category.
Undoing from the Persistent Toast
When you execute a reversible action, a persistent toast notification appears at the bottom of the screen. The toast includes:
- A description of what was done (e.g., "Appointment cancelled for Sarah Jones")
- An Undo button
- A countdown timer showing the remaining undo window
Click Undo to reverse the action immediately. The toast remains visible until you dismiss it or the undo window expires.
Multiple Toasts
If you perform several reversible actions in quick succession, each gets its own toast. Toasts stack vertically, with the most recent at the bottom. Each has an independent countdown.
Undoing from Action History
If you dismissed the toast or navigated away, you can still undo from the action history:
- Press Cmd+K to open the Command Palette
- Type "undo" or navigate to Recent Actions
- Find the action you want to reverse
- Click Undo (if the window is still open)
Actions within their undo window are marked with an undo icon. Expired actions show the time they were executed but no undo option.
Undoing After the Toast
If the undo toast has been dismissed, use the Action History in the Command Palette where you can select exactly which action to reverse. :::
Workflow-Level Undo
When a workflow execution completes, you can undo the entire execution as a single operation. Workflow undo reverses every action in the chain, in reverse order.
Requirements for Workflow Undo
- All actions in the workflow must be individually reversible
- All individual undo windows must still be open
- The workflow must have completed (not still running)
Partial Reversal
If some actions in a workflow have expired their undo windows while others have not, Praxi offers a partial undo. You choose which individual actions to reverse. The system warns you about dependencies -- for example, undoing an invoice creation without undoing the associated payment allocation.
How to Undo a Workflow
- Go to Workflows in the Practice section of the sidebar
- Click the workflow name
- Go to the Executions tab
- Select the execution to reverse
- Click Undo Execution
- Review the list of actions that will be reversed
- Confirm
What Happens When the Window Expires
After the undo window closes, one-click undo is no longer available. Depending on the action category, you have several options:
| Category | After Expiry |
|---|---|
| Client Management | Create a corrective action (e.g., restore an archived client manually via "Restore Client" action) |
| Appointments | Create a new appointment or rebook -- historical records are preserved |
| Billing | Issue a credit note or adjustment rather than voiding the original |
| Clinical Notes | Signed notes cannot be deleted (AHPRA requirement); create an addendum instead |
| Communication | Sent messages cannot be recalled -- send a follow-up correction |
| Settings | Re-apply previous settings manually; the audit log shows exact previous values |
Clinical notes that have been signed cannot be undone or deleted, even within the undo window. This is an AHPRA compliance requirement -- signed notes are immutable. If a signed note contains an error, create an addendum with the correction.
Actions That Cannot Be Undone
Some actions are inherently irreversible:
| Action | Why | What to Do Instead |
|---|---|---|
| Sign clinical note | AHPRA immutability requirement | Create an addendum |
| Submit Medicare claim | Claim has been transmitted to Services Australia | Lodge an amendment or reversal through Medicare |
| Send SMS/email (after delivery) | Message already received | Send a follow-up correction |
| Permanent data erasure | Privacy Act right-to-erasure has been fulfilled | Data is unrecoverable by design |
| Export data | File has been downloaded | The export itself is logged for audit purposes |
Audit Trail
Every action and its undo (if performed) are recorded in the audit trail. The audit log captures:
- Original action: who, what, when, parameters
- Undo action: who undone it, when, whether it was a full or partial reversal
- Expiry: when the undo window closed (if not used)
Audit records are retained for 7 years in compliance with the Privacy Act 1988 and AHPRA record-keeping requirements. Practice owners can review the audit trail at Audit (accessible from the sidebar).
