Voice Transcription Troubleshooting
Microphone Not Detected
- Ensure your microphone is connected and recognised by your operating system.
- When Praxi requests microphone access, click Allow. If you previously denied access, update permissions in your browser under Site Settings > Microphone.
- On macOS, verify your browser appears in System Settings > Privacy & Security > Microphone.
- Close other applications that may be holding exclusive access to the microphone.
Audio Quality Indicator Shows Red or Amber
The audio quality indicator in the session toolbar reflects real-time signal quality.
| Indicator | Meaning | Action |
|---|---|---|
| Green | Good signal, clear audio | No action needed. |
| Amber | Moderate noise or low volume | Move the microphone closer or reduce background noise. |
| Red | Clipping, excessive noise, or very low signal | Check your microphone gain in operating system settings. Use a headset or external microphone. |
Avoid using the built-in laptop microphone in noisy environments. A USB or Bluetooth headset significantly improves transcription accuracy.
Transcription Not Starting
- Voice transcription is available on Team plans and above. Solo plan users have access to batch (post-session) transcription only.
- Recording consent must be obtained from the client before transcription can begin. Check that the consent dialog has been completed.
- Verify your internet connection is stable. Streaming transcription requires a continuous connection to the server.
- If the Start Transcription button is greyed out, ensure you have AI processing consent enabled in Settings > AI Preferences.
Poor Transcription Accuracy
- Speak clearly and at a moderate pace. Rapid speech or heavy accents may reduce accuracy.
- Reduce background noise: close windows, turn off fans, and use a quiet room.
- For couples or group sessions, ensure each speaker is within range of the microphone. Consider using a conference microphone for group settings.
- Praxi uses Australian English language models by default. If your sessions are conducted in another language, contact support to discuss availability.
- The system improves accuracy over time as it learns speaker patterns within a session.
Live Notes Not Generating
Live clinical notes are generated progressively during the session (approximately every five minutes). If notes are not appearing:
- Confirm you are on a Team or higher plan.
- Check that AI processing consent is enabled for the session.
- Ensure the session has been running for at least five minutes with sufficient speech content.
- If notes stop updating mid-session, check your internet connection. The system reconnects automatically after brief interruptions.
Session Memory Not Saved
Session memory is created when a clinical note is signed. If memory does not appear for a session:
- Ensure the note has been finalised and signed.
- Session memory requires a Team or higher plan.
- Memory generation may take up to one minute after signing.
Contact Support
If transcription issues persist, contact support at hey@praxi.au and include the session ID and a description of the audio environment.
