Customising a Template

After selecting a template, you can modify any aspect before activating:

Trigger

Change when the workflow fires:

  • Event-based -- Fires when something happens (e.g., appointment created, invoice paid)
  • Schedule-based -- Fires on a recurring schedule (e.g., daily at 9am)
  • Manual -- Fires when triggered by a user
  • Webhook -- Fires when an external system sends a request
  • Invoice Event -- Fires on invoice lifecycle changes
  • Client Event -- Fires on client-specific events
  • Form Event -- Fires when a form is submitted, started, or expires
  • Feedback Event -- Fires when feedback is submitted or resolved

Conditions

Add or modify conditions that filter when the workflow should run:

  • Client attributes (e.g., funding source, age group)
  • Appointment type or practitioner
  • Invoice status or amount
  • Custom field values

Actions

Creating from Scratch

Build a custom workflow using the visual workflow builder:

  1. Go to Workflows
  2. Click New Workflow
  3. Add a trigger node
  4. Add condition, action, and logic nodes by dragging them onto the canvas
  5. Connect the nodes to define the flow
  6. Test the workflow using the preview mode
  7. Activate when ready
tip

Start with a template and modify it rather than building from scratch. Templates incorporate best practices and common edge cases that are easy to overlook when starting from a blank canvas.
