Email Campaigns

Praxi includes an email campaign tool for sending targeted communications to groups of clients. Use it for practice updates, service announcements, wellbeing resources, or re-engagement outreach -- all while maintaining compliance with the Spam Act 2003.

Sending a Bulk Message

You can send a bulk email or SMS to a group of clients:

  1. Navigate to Workflows > Campaigns > Email Campaigns
  2. Click Create Campaign or Bulk Message
  3. Choose the message type: Email or SMS
  4. Select recipients by choosing individual clients or an audience segment
  5. Enter a subject line (required for email)
  6. Compose the message body
  7. Preview the message
  8. Click Send

Template Variables

Personalise your messages using template variables that are automatically replaced with each client's details:

VariableReplaced With
{{firstName}}Client's first name
{{lastName}}Client's last name
{{nextAppointment}}Date and time of the client's next booking
Use {{firstName}} at the start of your message to personalise each

communication. Clients are more likely to engage with messages that address them by name. :::

Audience Segmentation

Target specific groups of clients by creating audience segments.

  1. Go to Workflows > Campaigns, then select the Audience Segments tab
  2. Click New Segment
  3. Add filter criteria
  4. Name the segment and save
Segment TypeWhat It Filters
All clientsEvery client with a valid email and marketing consent
Active clientsClients with an active status
Inactive clientsClients with inactive or discharged status
By practitionerClients assigned to a specific practitioner
By serviceClients who have attended a specific service type
By referrerClients referred by a specific referrer
By locationClients in a specific suburb
CustomAny combination of client record fields

Segments are dynamic -- they automatically update when client data changes. You can also preview segment members and their count before sending.

Use segmentation to send re-engagement emails to clients who have not

attended in the last 90 days. This is one of the most effective ways to maintain your caseload. :::

Templates

Create and save your own email and SMS templates for reuse. Templates support merge variables (see above) and are managed at Settings > Communication > Message Templates.

Common template ideas:

  • Practice closure or holiday notice
  • New service announcement
  • Wellbeing check-in
  • Re-engagement outreach
  • Feedback request

Each template has a name, content body, and an automatically extracted list of variables used in the text.

Scheduling

  • Send immediately or schedule for a future date and time
  • View all scheduled messages in the Scheduled queue
  • Cancel a scheduled message before it is sent
  • Reschedule a message to a different date and time
  • Send a scheduled message immediately using Send Now

Tracking

After a campaign is sent, view performance metrics in the email analytics dashboard:

MetricDescription

BouncedEmail could not be delivered
Open RatePercentage of delivered emails that were opened
Click RatePercentage of opened emails with link clicks

Praxi also provides a recent-activity feed showing per-recipient send, open, and click volumes.

Bulk messaging is not available for demo organisations. :::

Compliance (Spam Act 2003)

Marketing email is a commercial electronic message under the Spam Act 2003 (ACMA). Core duties: consent (s 16), sender identification (s 17), and a functional unsubscribe (s 18 — honour within 5 working days; facility usable ≥ 30 days after send).

  • Every campaign email includes an unsubscribe link and List-Unsubscribe headers (added by Praxi)
  • Practice name and contact details are included in the footer (s 17)
  • You must have marketing consent for each recipient (Praxi filters)
  • Unsubscribe requests are processed immediately (stricter than the 5-day statutory maximum) and cannot be overridden for marketing
Praxi automatically excludes clients who have unsubscribed or who have

not consented to marketing communications. You do not need to manually filter these recipients. :::

Official: ACMA — Avoid sending spam. SSOT:

Google Workspace Integration

If your practice uses Google Workspace, Praxi can send emails from your practitioner's Google Workspace address (rather than the default Praxi system address). This requires connecting your Google account via Praxi Connect.

Personal Gmail accounts (@gmail.com) are not supported — a Google Workspace business account is required.

When Google Workspace sending is configured, Praxi attempts to send via your Google account first and automatically falls back to the standard email service if unavailable.

Rate Limits

Praxi enforces sending limits per organisation to protect deliverability and prevent abuse. If you reach the limit for your plan, you will receive an error message. Contact support if you require higher limits for your practice.
