Google Workspace Setup
Connect Google to Praxi so your practice's email, calendar, and documents work where your clinical work happens. Each team member connects their own Google account with a standard Google sign-in — the same way you connect Google to other modern apps. Praxi never asks for your password and never holds a key to your whole domain.
Overview
| Feature | Description |
|---|---|
| Email via Gmail | Send and receive practice email through your existing Gmail mailboxes |
| Calendar sync | One-way: Praxi appointments appear in your Google Calendar |
| Drive backup | Scheduled encrypted backup of recent practice data to Google Drive |
| Document templates | Generate documents from Google Docs templates |
Each person controls what syncs for their own account (email, calendar, Drive can be toggled individually), and can disconnect at any time — from Praxi or from their Google account security page.
Prerequisites
| Requirement | Details |
|---|---|
| Google Workspace | A Google Workspace domain for your practice |
| Admin Console access | A Workspace admin does one short trust step (once, for the whole team) |
| Practice Owner role | Required in Praxi for the practice-level setup pages |
Practice setup takes about five minutes; each team member's connection takes under a minute.
Support for personal @gmail.com accounts (for solo practitioners without
Google Workspace) is being rolled out alongside Google's app-verification
process. Google Workspace practices can connect today.
Practice setup (owner)
Go to Settings → Integrations → Google Workspace. The wizard has three steps.
Step 1: Connect your practice
Review what the integration provides, what Praxi can and cannot access, and accept the data processing terms. Praxi requests access only to:
- Gmail — read and send mail in connected mailboxes
- Calendar — read and write calendar events
- Drive — only files and folders created through Praxi (not your whole Drive)
- Docs — documents used as Praxi templates
Praxi cannot see other files in your Drive, other Google services, or the accounts of team members who have not connected.
Step 2: Trust Praxi in Google Admin
A Workspace admin marks Praxi as a trusted app so your team can connect without warnings:
- Copy Praxi's client ID shown in the wizard.
- Open the Google Admin Console link provided (Security → API controls → App access control).
- Choose Configure new app, search by the client ID, and mark it Trusted.
Workspace app-access policies apply per organisational unit and per group, and a child setting overrides the parent. Apply the trust setting at the top-level organisational unit, or to every unit and group whose members will connect — otherwise some team members will see a "your admin has not approved this app" message when they try.
If your practice uses a personal Gmail account rather than Workspace, this step can be skipped.
Step 3: Connect accounts
Connect your own Google account first — this also confirms the trust setting works. Then use the team roster on the same page to see who is connected and send a connect invitation to each team member.
Connecting your own account (all team members)
Go to Settings → Connected accounts, choose Connect Google account, and complete the Google sign-in and consent screen. Once connected you'll see which Google address is linked and what it syncs; you can toggle email, calendar, and Drive sync individually.
Disconnecting
- Yourself: Settings → Connected accounts → Disconnect. This revokes Praxi's access with Google and stops all syncing for your account.
- A team member (owner): the roster on the Google Workspace management page.
- From Google: removing Praxi at myaccount.google.com/permissions also works — Praxi detects the revocation and shows the account as disconnected.
Disconnecting stops syncing but does not delete data already in Praxi, which is retained under your practice's data retention policy.
Troubleshooting
| Symptom | Fix |
|---|---|
| "Your admin has not approved this app" during connect | The trust step hasn't reached your account — ask your admin to apply Step 2 at the top-level org unit or your unit/group |
| Google shows an "unverified app" warning | Expected for personal Gmail accounts while Google's verification of Praxi completes; Workspace-trusted domains don't see it |
| Connected, but mail/calendar isn't syncing | Check the sync toggles on Settings → Connected accounts, then allow a few minutes for the first sync |
| Account shows "disconnected" unexpectedly | Access was revoked on the Google side (password reset or permissions change) — reconnect from Settings → Connected accounts |
Migrating from the previous setup
Earlier versions of this integration asked practices to create a Google Cloud service account and upload a key file. That flow has been retired. If your practice connected that way, reconnect using the steps above — each team member connects their own account, and no Google Cloud Console access is needed. Your synced data in Praxi is unaffected.
