Close Your Praxi Account
Close Account ends your practice’s access to Praxi. It is different from cancelling a paid subscription, and it is not a delete-everything action.
Only a practice owner can request closure. The request affects every user in the practice, not only the person who starts it.
Close Account vs Cancel Subscription
| Action | What it does | Where |
|---|---|---|
| Cancel Subscription | Ends the paid plan at the end of the billing period. Authorised existing-record retrieval is separate from the Student programme | Settings → Subscription → Cancel Subscription |
| Close Account | Schedules full access revocation for the whole practice after a 30-day grace period | Settings → Subscription → Close Account |
If you only want to stop billing, cancel the subscription. Use Close Account when you are leaving Praxi entirely.
What closing does — and does not do
Closing revokes access for all practice users. It does not destroy clinical records on request. Health-record retention depends on jurisdiction, age at collection, record type and the applicable service or other legal trigger. Clinical, financial and audit records can have different periods. Your practice remains responsible for its records; Praxi also retains the duties applying to its own custody and processing. A subscription is not an indefinite statutory archive.
| Category | Outcome |
|---|---|
| Clinical records, notes, appointments, invoices | Subject to the applicable lawful retention and handover arrangements |
| Practitioner and practice contact details | Removed from active use |
| Marketing profile, mailing lists, product analytics | Deleted; email suppressed from marketing |
| Audit trail | Retained for seven years |
| Subscription and payment method | Ended / payment method removed |
Never describe account closure as “delete everything.” Access ends; statutory records remain. Export what you need before the grace period ends. If you require assisted retrieval, contact Praxi without sending clinical content to general support email. Closure does not extinguish statutory access rights.
How to request closure
- Go to Settings → Subscription.
- Open Close Account.
- Read the retention summary on the page — it matches what Praxi will apply.
- Prefer Export my records first (link on the form). If you have not exported in the last 30 days, you must acknowledge that you already hold records elsewhere (or will lose Praxi access to them).
- Optionally choose a reason and leave feedback.
- Type
CLOSE MY ACCOUNTexactly in the confirmation field. - Select Close my account.
You will see confirmation that nothing has been revoked yet. Every practice owner is emailed so nobody is closed out by surprise.
The 30-day grace period
After you request closure:
- Access continues for 30 days.
- You can withdraw the request at any time during that window from the same Close Account page (Closure pending card → cancel / withdraw).
- When the grace period ends, access is revoked for the whole practice. Clinical records and the audit trail remain retained as above; marketing data is deleted.
Who can do this
- Practice owners — request and withdraw closure.
- Other roles cannot close the practice account.
If a request is already in progress, or the account is already closed, the page explains why a new request cannot start.
