Chat Assistant

Praxi includes an AI chat assistant available throughout the application. You can ask questions about how to use Praxi, get help with scheduling and billing, request document drafts, look up clinical information, and more. The assistant understands the context of what you're working on and tailors its responses to your role, subscription tier, and current page.

Opening the Chat

Access the chat assistant from anywhere in Praxi:

MethodHow
AI iconClick the sparkles icon in the navigation rail
Command palettePress Cmd+K (Mac) or Ctrl+K (Windows), then type your question
Keyboard shortcutPress Cmd+Shift+A (Mac) or Ctrl+Shift+A (Windows) to toggle the AI panel

The AI panel opens next to the sidebar as a utility panel. You can pin it to keep it open, expand it to full screen, or position it on the left or right side. See Utility Panels for panel controls.

What You Can Ask

The assistant can help with a wide range of tasks across your practice:

Scheduling and Calendar

  • "What's my schedule for today?"
  • "Do I have any gaps this week?"
  • "Book an appointment for [client name] on Thursday at 2pm"
  • "What's the waitlist looking like?"
  • "Show me my availability for next week"

The assistant will look up your actual calendar data and provide real answers. When an action is needed (like booking an appointment), it suggests the action with a button below its response for you to confirm.

Billing and Claims

  • "How do I process a Medicare claim?"
  • "What MBS item number should I use for a 50-minute session?"
  • "Show me outstanding invoices"
  • "How do I set up a payment plan?"
  • "What's the DVA claiming process?"

Clinical Questions

  • "Help me draft a SOAP note for today's session"
  • "Generate a GP letter for [client name]"
  • "Summarise this client's latest K-10 result"
  • "What are the AHPRA documentation requirements for progress notes?"

For clinical tasks, the assistant routes to the clinical assistant, which uses the most capable AI model. All generated clinical content is presented as a draft for your review and approval.

Practice Help

  • "How do I create a custom form?"
  • "Where are the compliance settings?"
  • "How do I set up telehealth?"
  • "What reports are available?"
  • "How do I add a new staff member?"

The assistant has comprehensive knowledge of all Praxi features and can provide step-by-step guidance with specific navigation paths.

Research and Evidence

  • "What does current evidence say about CBT for social anxiety?"
  • "Look up clinical guidelines for PTSD treatment"
  • "Find the Medicare Better Access guidelines"

Agent Tab Bar

At the top of the chat panel, the Agent Tab Bar shows Praxi (always first) alongside 2--3 contextually relevant specialist agents for the page you are on. Click an agent pill to direct your message to that specialist directly.

  • Praxi is always visible as your main assistant and orchestrator
  • Relevant specialists appear based on your current page (e.g., the clinical assistant appears on clinical notes pages, Jarvis on the calendar)
  • Click the overflow button (...) to see all six agents
  • When a specialist agent contributes to a response, its pill glows briefly

You can also mention agents by name in your message (e.g., "ask Jarvis to move this appointment") and Praxi will route accordingly.

Context Awareness

The assistant uses context from your current activity to provide more relevant responses:

  • Current page -- If you're on a client's profile, the assistant knows which client you're viewing and can answer questions about them directly
  • Active client -- When a client is selected, you can ask "generate a progress note for this client" without naming them
  • Your role -- Responses are tailored to your permissions. A practice owner sees different information than a receptionist
  • Subscription tier -- The assistant knows which features are available on your plan and will let you know if something requires an upgrade
  • Daily briefing -- The assistant greets you by name with a time-appropriate message, today's appointment count, unsigned notes, unbilled sessions, overdue tasks, and actionable suggestions tailored to your day

Suggested Actions

When the assistant recommends an action (booking an appointment, creating an invoice, generating a document), it presents a button below its response rather than performing the action directly.

This is an important safety feature:

  • Every data-modifying action requires your explicit confirmation via the suggested action button
  • The assistant can navigate you to a specific page and pre-fill a form (for example, opening the new appointment form for a particular client), but it still requires your confirmation before saving any data
  • All suggestions and confirmations are recorded in the audit trail
  • When the assistant needs more information (e.g., which client to book for), it presents an interactive picker within the chat for you to select from
Suggested Actions If the assistant says something like "Click the button

below to book the appointment", look for the action button that appears beneath the message. The assistant cannot perform the action until you confirm it. :::

File Attachments

You can attach files to your chat messages for the assistant to process:

  1. Click the paperclip icon next to the message input
  2. Select the file(s) you want to attach
  3. File previews appear above the input field
  4. Send your message with the attachment

You can also drag and drop files directly into the chat panel. The assistant can read documents, referral letters, and other clinical files to help with tasks like summarising a referral or extracting key information.

Conversation History

The chat panel maintains a full conversation history:

  • New conversation -- Click the new message icon to start a fresh thread
  • Conversation list -- Click the history icon to browse previous conversations
  • Search -- Use the search icon to find past conversations by keyword
  • Pin conversations -- Pin important threads for quick access
  • Archive -- Archive old conversations to keep your list tidy

Dictation

Click the microphone icon in the chat composer and speak. Your words appear as text in the composer for you to check and send. Dictation runs in your browser; the assistant replies in text. There is no spoken voice conversation with the assistant.

For dictating clinical notes, see Voice Transcription.

Subscription Tier Features

AI capabilities vary by subscription tier. All six agents are available on every plan, but the maximum AI model quality increases with higher tiers:

FeatureStudentEssentialsProEnterprise
Jarvis (operations) + Praxi orchestratorYesYesYesYes
Chat (help, scheduling, billing)YesYesYesYes
Clinical, Ada, Warren, Brene and Linus agents----YesYes
Clinical AI (notes and documents)----YesYes
Maximum model: fast (Haiku)YesYesYesYes
Maximum model: balanced (Sonnet)----YesYes
Maximum model: most capable (Opus)------Yes
Live clinical guidance----YesYes
Session memory----YesYes
Multi-speaker transcription----YesYes

If you ask about a feature that requires a higher tier, the assistant will let you know and explain what's available on your current plan.

Tips for Effective Use

Be specific -- "Show me Sarah's upcoming appointments this week" works better than "show appointments".

Ask follow-up questions -- The assistant remembers the conversation context, so you can ask "and what about next week?" after an initial query.

Use it for navigation help -- If you can't find a setting or feature, ask "where do I find [feature]?" and the assistant will provide the exact navigation path.

Request specific formats -- For clinical documents, specify the format: "Draft a SOAP note" vs "Draft a DAP note" for the structure you prefer.

Navigate first -- If responses seem off-topic, navigate to the relevant page first so the assistant has the right context.

Privacy and Safety

ProtectionDetail
No model trainingYour conversations are never used to train AI models
Australian infrastructureAll processing occurs on Australian-hosted servers
Audit loggingEvery interaction is logged for compliance (7-year retention)
Tenant isolationYour practice data is strictly separated from others
No data fabricationThe assistant only presents data it has retrieved -- it will tell you if information is unavailable rather than guessing
Clinical Responsibility AI-generated clinical content (notes,

letters, care plans) is always a draft for your review. You retain full clinical responsibility for all documentation. Always review AI suggestions against your professional judgement before signing or sending. :::

Troubleshooting

IssueSolution
Chat panel not appearingCheck that AI features are enabled in Settings > AI Settings
Responses seem genericMake sure you're on the relevant page for context (e.g., client profile for client-specific questions)
"Feature not available" messageThe feature may require a higher subscription tier -- check with your practice administrator
Slow responsesComplex clinical queries use more capable models and may take a few seconds longer
Incorrect data in responsesReport via the feedback button on the message. The assistant only shows data from your practice database
