Client Portal
The Praxi Client Portal gives your clients a secure, self-service interface to manage appointments, complete assigned work, make payments, and join telehealth sessions. It is available in a web browser and as a progressive web app on mobile devices. A native iOS Client Portal app is also available.

My Plan, Library, and Check-in
Between-session work is organised under Wellbeing:
- My Plan — “what someone gave me.” Forms, questionnaires, trackers, practices you prescribed, learning modules, programmes, and the client’s own tasks appear here, ordered by what is due next. Optional messages you write when allocating show as “From your practitioner.”
- Library — “what I can help myself to.” Self-serve guided practices (breathing, grounding, meditation, and more). The same practice catalogue practitioners allocate from Client Tools — it cannot drift from what you can prescribe.
- Check-in — how the client is going (wellness / mood).
Older separate portal destinations for homework, learning, and tasks still resolve where bookmarks exist, but the client experience is designed around My Plan. Prescribe content from Client Tools — see Client Tools Overview.
Inviting Clients to the Portal
Inviting a Single Client
- Open the client's record
- Look for the Portal Access section (in the client detail panel)
- Click Send Invitation
- Choose the delivery method (email or SMS)
- Click Send
The invitation is delivered to the contact details on the client's record. If the client prefers a different address, update their record first.
The client receives a secure link valid for 72 hours. They use it to create a passkey or set a password. Clients who choose a password are asked to set up additional verification if the practice requires it. A reminder email is sent automatically 24 hours before the invitation expires.
Bulk Invitations
To invite multiple clients at once:
- Go to the Clients list
- Select the clients you want to invite using the checkboxes
- Click Invite to Portal from the bulk actions toolbar
- Confirm the batch invitation
Praxi sends invitations to all selected clients and reports which succeeded and which failed (e.g. if a client has no email address on file).
Checking Portal Status
From any client's record, the Portal Access section shows:
- Whether portal access is enabled or disabled
- Whether the client has accepted their invitation and created an account
- The client's last login date and time
- Invitation history — a list of all invitations sent, with status (pending, accepted, expired, or revoked)
Resending Invitations and Resetting Passwords
- Resend invitation — Click Send Invitation again from the client's Portal Access section. This generates a new token (previous tokens are revoked).
- Reset password — Click Reset Password to send a password reset email. This also unlocks the account if it has been locked due to failed login attempts.
Managing Locked Accounts
If a client enters the wrong password five times, their account is locked for 15 minutes. Practice staff can view and manage locked accounts from Settings > Portal Accounts, which shows:
- All portal accounts with failed login attempts
- Lock expiry times
- A button to manually unlock accounts
Disabling Portal Access
To revoke a client's portal access:
- Open the client's record
- In the Portal Access section, click Disable Portal Access
- This immediately revokes all active sessions and marks pending invitations as revoked
Portal Settings
Portal behaviour is configured in the relevant feature's settings rather than a single portal hub: online booking under Settings > Booking Widget, document visibility when you share each document, and form availability when you assign forms. Manage portal accounts themselves -- including locked accounts and unlocking -- in Settings > Portal Accounts.
Privacy and Security
The Client Portal is built with privacy as a priority:
- Secure authentication -- Clients can authenticate with a passkey, password or email code, with additional verification where required by the practice. Device registration is supported for trusted devices.
- Encrypted data -- All data in transit and at rest is encrypted (AES-256-GCM for PHI)
- Session management -- Inactive sessions time out automatically
- No clinical notes -- Clinical notes are never visible in the Client Portal; only documents explicitly shared by the practitioner appear
- Consent controls -- Clients can manage their communication and data sharing preferences directly from the portal
- Data export -- Clients can request an export of their personal data in compliance with the Australian Privacy Principles
Client portal data handling complies with the Australian Privacy Act 1988 and the Australian Privacy Principles. Client records are retained for a minimum of 7 years as required by regulatory obligations.
Practitioners control what information is shared with each client. Documents, invoices, and forms only appear in the portal when explicitly enabled or sent.
