NDIS Invoicing

Praxi supports invoicing for NDIS-funded services, including plan-managed, self-managed, and NDIA-managed participants. The system aligns with the current NDIS Pricing Arrangements and Price Limits.

NDIS Price Guide

Praxi maintains an up-to-date copy of the NDIS Pricing Arrangements. When creating invoices for NDIS participants, the system automatically applies the correct line item rates based on the support category and your provider registration.

Common psychology-related support items include:

tip

Include the NDIS participant number, support item number, date of service, and provider ABN on every invoice. Missing details are the most common cause of payment delays. :::

90-Day Submission Window

NDIS claims must be submitted within 90 days of the service delivery date. Praxi tracks this deadline and warns you when invoices are approaching the submission window limit. :::

Bulk Invoicing

For practices with multiple NDIS clients:

  1. Go to Billing > Bulk Operations > NDIS Invoicing
  2. Select the date range
  3. Review the list of uninvoiced NDIS appointments
  4. Verify line items and rates
  5. Click Generate All to create invoices in batch
  6. Send invoices to the relevant plan managers or participants

PACE-Compliant Export

For NDIA-managed (agency-managed) participants, Praxi generates PACE (Provider and Consumer Exchange) compliant CSV files for upload to the NDIS myplace portal:

  1. Go to Billing > NDIS Claims > Export
  2. Select the date range and optional filters (client, support number)
  3. Choose PACE Export for the enhanced format
  4. Praxi validates each record against PACE rules:
    • NDIS number format (9 digits, starts with 4)
    • Item number format validation
    • Pricing cap checks by location tier
    • Cancellation reason required for cancellation claim types
  5. Review any warnings or errors before downloading
  6. Download the CSV and upload to the NDIS myplace portal

You can also run a dry-run validation to check records for PACE compliance without generating the CSV file.

Service Agreements

Praxi includes NDIS service agreement management with templates and digital signature support:

  1. Go to Billing > NDIS > Service Agreements
  2. Create a new agreement for a participant (or use the template at Settings > Templates > NDIS Service Agreement)
  3. Specify services, pricing, cancellation policy, and terms
  4. Send the agreement for electronic signature
  5. Track signing status and agreement history
  6. Receive alerts when agreements are approaching expiry
Service Agreements

Best practice is to have a signed service agreement with each NDIS participant before commencing services. The agreement protects both you and the participant by documenting the services, pricing, and cancellation terms. :::

NDIS Invoice PDFs

Praxi can generate NDIS-specific PDF invoices that include all required fields for plan manager or participant submission. These PDFs include:

  • Your practice ABN and NDIS provider registration number
  • NDIS participant number
  • Support item number and description
  • Date of service, duration, and rate
  • Line item totals and invoice total

Generate PDFs from the invoice detail view or in bulk from Billing > NDIS Claims > Export > PDF.

NDIS Reporting

View NDIS claim activity at Billing > Claims > NDIS:

  • Service delivery summary — hours and sessions delivered per participant
  • Budget utilisation — percentage of approved funding used
  • Outstanding invoices — unpaid NDIS invoices by plan manager

Who can manage NDIS invoicing

Practitioners (and interns, under supervision) create NDIS invoices and manage NDIS funding sources for their own clients. Practice owners, practice managers, and accountants have practice-wide access to NDIS billing and can view reports across the practice.
