Private Billing
Private billing covers self-funded clients who pay out of pocket, as well as clients who pay a gap amount on top of a Medicare rebate. Praxi handles fee setting, invoice generation, payment collection, and receipt issuance.
Setting Private Fees
- Navigate to Billing > Fee Schedule
- Click Add Fee or edit an existing entry
- Set the service type, duration, and fee amount
- Optionally configure different fees per practitioner
- Save the fee schedule
practitioners to override them. This is useful for practices with a mix of registrar levels (e.g., provisional psychologists vs clinical psychologists).
Creating Invoices
Automatic Invoicing
When auto-invoicing is enabled, Praxi generates an invoice as soon as an appointment is marked as attended. The invoice uses the client's primary funding source and applicable fee schedule.
Manual Invoicing
- Go to Billing > Invoices > New Invoice
- Select the client
- Add line items (service type, date, amount)
- Apply the private funding source
- Save as draft or send immediately
Payment Collection
Praxi supports multiple payment methods:
| Method | How |
|---|---|
| Card (Stripe) | Online payment link or in-person terminal |
| EFTPOS (Tyro) | In-person terminal at reception |
| Square | In-person terminal at reception |
| Bank transfer | Client pays to your nominated account; record manually |
| Cash | Record manually in Praxi |
To record a manual payment, open the invoice and click Record Payment, then select the payment method and enter the amount.
Private Health Fund Claiming
If your practice has a Tyro HealthPoint terminal or HICAPS terminal, you can submit private health claims directly at the point of sale:
- Open the invoice
- Click Submit health fund claim
- Select the claiming terminal (Tyro HealthPoint or HICAPS)
- The system checks for duplicate claims and existing Medicare claims on the same service (double-dipping is blocked automatically)
- The client's fund membership is verified
- The claim is submitted and assessed in real time (approximately 15 seconds)
- If approved, the rebate amount is applied to the invoice and the client pays only the gap
Rebate Estimates
Before submitting an actual claim, you can request a rebate estimate to show the client their expected out-of-pocket cost:
- Click Get Rebate Quote on the invoice
- Praxi checks the fund membership and calculates the expected benefit
- The estimated rebate and gap amounts are displayed
- This does not submit an actual claim -- it is a pre-claim check only
Supported Health Funds
Praxi supports claiming with all major Australian health funds through Tyro HealthPoint and HICAPS. Contact Praxi Support to confirm whether a specific fund is supported for your terminal type.
Praxi learns rebate amounts from approved claims over time. After a few claims to the same fund, the system can provide instant rebate quotes before you submit.
Receipts and Statements
- Receipts are generated automatically when a payment is recorded and can be emailed to the client as a PDF, or downloaded and printed from your browser
- Statements provide a summary of all invoices and payments over a period -- useful for clients claiming through private health insurance or as a tax deduction
- Generate a statement from the client record under Billing > Statement
Gap Payments (Medicare + Private Top-Up)
For clients with a Medicare rebate who pay a gap:
- Create the invoice at your full fee
- Submit the Medicare claim -- the rebate amount is recorded against the invoice
- The remaining balance (gap) is displayed as the amount due from the client
- Collect the gap payment via card, EFTPOS, or other method
- The invoice shows both the Medicare rebate and client payment
Praxi tracks the Medicare rebate and gap amount separately, making reconciliation straightforward. Clients receive a single receipt showing both components.
Overdue Invoices
- Praxi automatically flags invoices as overdue once they pass the due date
- Configure automated reminder emails at Settings > Reminders
- View outstanding and overdue invoices in the aged receivables section of Billing > Payment Analytics
Who can manage private billing
Practitioners (and interns, under supervision) create invoices and record payments for their own clients. Practice owners, practice managers, and accountants have practice-wide access to billing, including all invoices and financial reports. Only practice owners and practice managers configure the fee schedule.
