Classes & Group Sessions
Praxi supports scheduling and managing group therapy sessions, couples sessions, family sessions, psychoeducation classes, and other multi-participant appointments. The maximum participants per session is configured per appointment type. Group sessions appear on the calendar alongside individual appointments.
Creating a Group Session
- Navigate to Schedule and click New Appointment
- Select Group Session as the appointment type
- Enter the session details:
- Title -- A descriptive name (e.g., "Anxiety Management Group")
- Practitioner -- The facilitator
- Date and time -- When the session runs
- Duration -- Typical group sessions are 60 to 90 minutes
- Location -- Room or telehealth link
- Click Create
You can also create a recurring group session by enabling Make this recurring and selecting the frequency.
Setting Capacity
Each group session type has a configurable capacity set at the appointment type level:
- Go to Settings > Appointment Types
- Open the group appointment type
- Enable Allows multiple clients
- Set the Maximum clients for this appointment type
- Save
When creating a group session on the calendar, the participant limit from the appointment type is enforced automatically.
When a group reaches capacity, additional clients can be added to a waitlist so you can offer them the next available spot.
Managing Attendees
Adding Clients
- Open the group session
- Click Add Participant
- Search for an existing client or create a new record
- Repeat for each participant
Tracking Attendance
On the day of the session, use the attendance modal to quickly mark each participant:
- Open the group session
- Click Mark Attendance
- Tick each participant as attended -- unticked participants are recorded as not attended
- Use Mark All Present or Mark All Absent for fast bulk updates
- Optionally add a no-show reason for anyone who didn't attend
- Click Save
Attendance records are saved to each client's appointment history.
| Status | Billing impact |
|---|---|
| Attended | Invoice generated per billing rules |
| No Show | No-show fee may apply |
| Cancelled | No charge (cancelled within policy) |
Group Billing
Group sessions support flexible billing arrangements:
- Per participant -- Each attendee is invoiced individually based on the group service fee
- Funding source per client -- Different participants can have different funding sources (e.g., one on Medicare, another on private pay)
- Bulk invoicing -- Generate invoices for all attendees at once after the session
To configure group billing defaults, go to Settings > Billing > Service Types and set the fee for your group service type.
Medicare rebates are available for certain group therapy services under specific item numbers. Ensure each participant has a valid Mental Health Treatment Plan and referral.
