Meeting Polls

A meeting poll finds a time that works before anything lands on the calendar. You propose time slots, invitees (staff and external guests) vote yes, maybe, or no on each, and the winning slot becomes a meeting -- with all the yes voters added as attendees automatically.

Find polls under Calendar > Meetings > Polls.

Create a poll

  1. Select New poll
  2. Enter a Poll title (for example, "Q1 team meeting -- pick your slot") and an optional Description
  3. Choose a Meeting type
  4. Leave Online meeting ticked for an automatic video room, or untick it and enter a Location
  5. Pick a Duration (15 minutes to 4 hours)
  6. Set the Voting deadline
  7. (Optional) Tick Auto-schedule meeting when voting closes and set the Minimum yes votes required
  8. Add at least two time slots
  9. Add invitees:
    • Individual staff -- search by name
    • By role -- one-click chips (Practitioners, Supervisors, Reception, Practice managers, and so on)
    • Guest invitees -- name and email rows for people outside your practice; select + Add guest row for more
    • Select Preview invitees to confirm how many unique people will be invited
  10. Select Create poll

How voting works

  • Staff invitees vote from the poll page: open the poll, mark each time slot yes, maybe, or no under Cast your votes, then select Save votes.
  • Guest invitees receive a unique link that opens a public voting page -- no Praxi login needed. They enter their name, mark the times that work, and select Submit votes. Once the meeting is scheduled, guests are emailed the final time.
Guest links are personal

Each guest link is unique to the person it was sent to and should not be shared. If an invitation is revoked or the poll is cancelled, the link stops working.

The poll page shows the organiser a live tally per time slot, with the leading slot highlighted.

Close the poll and schedule the meeting

Polls move through four statuses: Open, Closed, Fulfilled, and Cancelled.

As the organiser:

  1. While the poll is open, select Close & schedule (or wait for the voting deadline -- with auto-schedule enabled, the meeting is created for you once the minimum yes votes are reached)
  2. On a closed poll, select Schedule meeting, review the winning slot and the attending list, and confirm

Everyone who voted yes is added as an attendee; maybe voters are marked tentative. Once fulfilled, the poll links straight to the meeting via Open meeting.
