Team Meetings

Meetings are for your team -- case consultations, supervision, clinical governance, training, and practice catch-ups -- separate from client appointments. Each meeting can carry an agenda, notes, a video room, live transcription, and post-meeting feedback, and CPD-eligible meeting types log attendance hours automatically.

Find Meetings under Calendar > Meetings. Any team member who can view the calendar can see meetings; scheduling one uses the same access as creating appointments.

Schedule a meeting

  1. Select Schedule Meeting
  2. Enter a Meeting Title
  3. Choose a Meeting Type (see the table below)
  4. Set the Start Time and End Time
  5. (Optional) Add a Location and an Agenda / Description
  6. (Optional) Tick the options you need:
    • Enable video conferencing (Jitsi) -- creates a video room for the meeting
    • Enable live transcription (host only) -- available once video is on
    • Request feedback after meeting -- attendees can rate and comment
  7. Select Schedule Meeting

CPD-eligible types

When you pick a CPD-eligible type (all Clinical and Learning & Development types), the form notes that attendance will be auto-logged for CPD tracking. When the meeting is marked completed, hours are recorded automatically for attendees.

To find a time that suits everyone before scheduling, create a meeting poll instead -- when the poll is fulfilled, everyone who voted yes is added as an attendee automatically.

Meeting templates

Calendar > Meetings > Templates holds reusable defaults:

  1. Select New Template
  2. Give it a Name (for example, "Team Standup"), an optional Description, a Duration (minutes), and a default Agenda
  3. (Optional) Turn on Set as default template
  4. Select Create Template

Track meetings

The Meetings list filters by status -- All, Scheduled, In Progress, Completed, Cancelled -- and shows each meeting's type (with a CPD badge where relevant), date and time, and attendee count. Completed meetings show how many invitees attended (for example, "3/5").

All attendees automatically receive email reminders 24 hours and 1 hour before a scheduled meeting.

Open a meeting to see its tabs:

  • Overview -- status, date, time, location, video provider, and CPD hours
  • Agenda -- numbered agenda items with durations; completed items are ticked
  • Notes -- minutes, action items, and general notes recorded against the meeting
  • Attendees -- who's invited, their responses, and who attended
  • Feedback -- average rating and comments (shown when feedback was requested)

Invite people

Invite team members and people outside your practice to the same meeting.

  • Team members -- pick them in the attendee list when you create the meeting, or select Invite in the meeting later. They get an in-app notification, an email and a push notification with a Join the meeting link.
  • People outside your practice -- type their email address under Invite by email. Each guest gets an email with a personal join link. They don't need an account; the link opens the meeting in their web browser.
What guests see

Guests see the meeting title, time, host and your practice name -- never the description, notes or the other attendees. Choose a title you're happy for them to read. Removing a guest from the meeting switches their link off.

The room opens to guests 15 minutes before the start time and closes an hour after the end. Guests join as participants; only the host can end the meeting for everyone.

Start a meeting from team chat

In any team chat channel, select Meet. Channel members are ticked as attendees -- untick anyone who shouldn't be invited, and add guest email addresses if you need them.

  • Start now opens the video room straight away and posts a Join the meeting link in the channel.
  • Schedule... sets a date and time instead, and posts the meeting in the channel.

Join from the iOS app

Meetings you host or are invited to appear in Meetings in the Praxi app, and the next one shows on Home while it's open to join. Tapping a meeting link or invitation notification on your iPhone or iPad opens the meeting in the app. Select Join to enter the video room; you can reply to invitations from the meeting.

Video meetings

For a meeting with video enabled, select Start Video (or Join Video once it's underway). The video room includes side panels for Chat, Live transcript, Agenda, Meeting notes (add notes during the meeting with Save note), and Participants.

If live transcription was enabled, the host can select Transcribe. A consent prompt appears first:

Transcription needs informed participants

Starting transcription requires confirming that all participants have been informed. A "Transcribing" indicator is shown to everyone in the room for the duration, and the host can stop transcription at any time.
