Online Booking Widget
Praxi includes an embeddable online booking widget that allows clients to book appointments directly from your website. The widget respects your availability, booking rules, and service types.
Enabling Online Booking
- Go to Settings > Booking Widget
- Toggle Enable Online Booking to on
- Configure which practitioners are available for online booking
- Select the service types clients can book
- Click Save
Once enabled, Praxi generates a unique booking URL for your practice and an embed code for your website. Each practitioner can also have their own individual booking page with a unique URL.
Customising Available Slots
Control which time slots appear in the booking widget:
- Practitioner availability -- Only slots within each practitioner's configured working hours are shown
- Advance booking window -- Define how far in advance clients can book (e.g., 1 to 90 days)
- Minimum notice -- Require a minimum lead time for new bookings (e.g., 24 hours)
- Blocked times -- Lunch breaks, meetings, and personal blocks are automatically excluded
Adjust these under the Booking Rules section of Settings > Booking Widget.
Embedding on Your Website
Praxi provides two embedding options:
Embed Code (iframe)
- Go to Settings > Booking Widget and open the Embed tab
- Copy the iframe embed code
- Paste it into your website's HTML where you want the widget to appear
Direct Link
Share the booking URL directly with clients via email, social media, or messaging. The link opens a standalone booking page hosted by Praxi.
Booking Rules
Configure rules to control how clients interact with the booking widget:
| Rule | Description |
|---|---|
| New clients | Allow or restrict bookings from clients not yet on file |
| Cancellation window | Minimum notice required to cancel (e.g., 24 hours) |
| Bookable services | Choose which appointment types clients can book online |
Set these in the Booking Rules section of Settings > Booking Widget.
Confirmation and Reminder Emails
When a client books online, Praxi automatically sends:
- Booking confirmation -- Sent immediately with appointment details, location or telehealth link, and cancellation instructions
- Appointment reminder -- Sent at the configured interval before the appointment (default: 24 hours)
You can customise the content of confirmation and reminder emails in Settings > Communications Settings, under Message Templates. Use merge fields to personalise messages with client and appointment details.
Clients can cancel directly from the confirmation email if your booking rules allow it. Cancellation requires the client to verify their email address for security. They can also view their booking summary using the booking link and their email.
Waitlist from the Booking Widget
When no slots are available, clients can join your waitlist directly from the booking widget. The waitlist form collects:
- Name, email, and phone number
- Preferred time of day (morning, afternoon, evening, or any)
- Consent to be added to the waitlist
When a matching slot opens, the client is notified automatically.
Group Session Booking
If your practice offers group sessions (e.g., group therapy, psychoeducation classes), clients can book into group sessions via the online widget. The widget shows the current capacity -- for example, "3 of 8 spots remaining" -- and prevents overbooking automatically.
Booking Flow Options
When configuring the booking widget, you can choose between:
- Instant booking -- Appointments are confirmed immediately when the client completes the booking form
- Approval required -- Bookings are held as pending until a staff member approves or rejects them
To reject a pending booking, open it from the booking management screen and click Reject. The client receives a notification explaining that the booking was not confirmed.
QR Code Booking
Praxi generates a QR code for your booking widget. Print the QR code on business cards, flyers, or display it in your reception area. When scanned, it opens your online booking page directly.
Access the QR code from the QR Code tab in Settings > Booking Widget.
Slot Reservations
When a client begins the booking process, the selected time slot is temporarily reserved for 15 minutes. If the booking is not completed within that time, the slot is released for others.
Booking Recovery
If a client abandons the booking process partway through, Praxi can send a follow-up email encouraging them to complete their booking. This is handled automatically by the booking recovery system.
Practitioner Notifications
When a client completes an online booking, the assigned practitioner receives an email notification with the booking details including client name, service, date/time, and any notes the client provided.
