Visits and enquiries at the front desk

Open Front desk from the Practice menu to see Today. In the practitioner app, open Front desk from Home. Visits use the practice's local date and are listed in time order. Choose a practitioner to focus the list. Your access determines which practitioners and locations you can see.

Each visit shows its current state: Expected, Here, With practitioner, Done, Running late or Did not arrive. Outstanding balances and unfinished forms appear when you have access to those records. On the web, the visit menu opens the existing Finance and Forms screens; Today does not change those records itself.

Record an arrival

Select Arrived on an expected in-person visit. The visit changes to Here and the assigned practitioner receives an arrival notification. Each client in a group visit has their own arrival state.

If you selected the wrong visit, use Undo within ten seconds. Undo is available to the person who recorded that arrival, while the session has not started. It restores the earlier visit state, including a running-late report.

For telehealth visits, In waiting room reflects the client's online waiting room presence. The practitioner admits the client through the existing session controls.

When a client is running late

Clients can select Running late from an eligible appointment in the portal, choose an estimate and confirm. The visit shows Running late until arrival or another visit state takes over.

The practitioner receives the report. Reception receives a notice to check Today, where each staff member can see the visit details allowed by their access. Notification delivery follows the recipient's notification preferences.

Use the visit menu to open the existing appointment actions or the client record.

Work through enquiries

Choose Enquiries in Front desk on the web or in the practitioner app. The queue brings together enquiries, incoming referrals, the waitlist, people waiting for a group, and booking requests that need a decision. Each source keeps its existing access rules, so you see only work you are allowed to handle.

Choose New, Referrals, Waitlist or Done to focus the queue. Select an entry to see its details and available actions. Referrals show their response target and whether the 48-hour target has passed.

Use the entry's actions to accept, book, waitlist or decline it, where available. Booking opens the usual booking flow so its availability and policy checks still apply. Accepting an enquiry and saving an appointment are separate steps. If you cancel booking, an accepted enquiry without a booking remains available in the queue.

After a completed decision, the queue refreshes and opens the next entry. If a decision fails or needs approval, the current entry stays available.

Booking-exception requests now live in Enquiries. The assigned practitioner can accept or reject a request. Praxi checks availability again before confirming an accepted request. Reception can follow up rejected, expired or failed requests, arrange an alternative booking and mark the follow-up complete. Confirmed requests appear under Done. Booking policy and availability configuration stay in Settings.
