Employee Assistance Program Management

Praxi supports practices that deliver Employee Assistance Program (EAP) services. Manage contracts with employer organisations, track session allocations per employee, and generate de-identified utilisation reports for employers.

Setting Up EAP Contracts

  1. Navigate to Settings > EAP > Contracts
  2. Click New Contract
  3. Enter the contract details:
    • Employer organisation name and contact
    • Contract period (start and end dates)
    • Session allocation per employee (e.g., 6 sessions per year)
    • Session fee and billing terms
    • Services covered (individual counselling, critical incident, manager support)
    • Referral pathway (self-referral, manager referral, or both)
  4. Save the contract
EAP Contracts and Billing

EAP contracts are managed separately from standard client billing. Session fees and allocations are tracked against the contract rather than the individual client record. :::

Session Tracking

When a client attends under an EAP arrangement:

  1. Create the appointment as normal
  2. Under Funding Source, select EAP and choose the employer contract
  3. Praxi tracks the session against the employee's allocation
  4. When the allocation is nearing its limit, the practitioner is notified

Allocation Tracking

StatusMeaning
ActiveSessions remaining in the employee's allocation
Nearing limit1--2 sessions remaining (notification sent to practitioner)
ExhaustedAllocation used; employee can continue as a private client if they choose
ExtendedEmployer has approved additional sessions beyond the standard allocation

Employer Reporting

Generate de-identified utilisation reports for employer clients:

  1. Go to Settings > EAP, then open the Reports section
  2. Select the employer contract and reporting period
  3. Generate the report

Report Contents

EAP utilisation reports include aggregate, de-identified data only:

  • Total sessions delivered in the reporting period
  • Number of unique employees who accessed the service
  • Presenting issue categories (broad groupings only)
  • Average sessions per employee
  • Satisfaction ratings (if collected)
Privacy in EAP Reports

EAP reports must never identify individual employees or disclose clinical information. Praxi enforces this by generating reports from aggregate data only — individual client records are not accessible from the reporting interface. :::
