Accountant Quick Start: Your First Week
As an accountant or bookkeeper, you have access to Praxi's billing, financial reporting, and staff compensation features. You can view and create invoices, export billing data, and run financial reports. You do not have access to clinical notes, client health information, or practice settings -- your view is focused entirely on the financial side of the practice. This guide covers what you need across three days.
Day 1 -- Invoice Overview and Reconciliation
Get familiar with how Praxi handles invoicing and learn to reconcile payments.
- Log in and orient yourself -- complete your profile and learn the navigation sidebar. Your view is focused on billing and financial reports. See First Login and Navigation.
- Understand the billing system -- Praxi supports Medicare, DVA, NDIS, WorkCover, and private billing. Invoices are generated automatically from attended appointments. See Billing Overview.
- Review the invoice lifecycle -- invoices move through draft, sent, partially paid, paid, overdue, and void statuses. Learn how each status affects your reconciliation. See Invoice Management.
- Explore payment plans -- some clients pay via automated recurring payments. Understand how these are tracked and reconciled. See Payment Plans.
Day 2 -- Reports and Accounting Software Sync
Connect Praxi to your accounting tools and run the reports you need.
- Run financial reports -- access revenue summaries, aged receivables, and period comparisons from the reporting dashboard. See Financial Reports. Praxi does not maintain a fixed-asset register; use your own depreciation schedule for D4 (the tax-return export states this explicitly).
- Set up Xero integration -- sync invoices and payments from Praxi into Xero for seamless bookkeeping. See Xero Setup.
- Set up MYOB integration -- if the practice uses MYOB, configure invoice export and payment sync. See MYOB Setup.
- Use bulk operations -- process batch invoicing and end-of-month runs efficiently. See Bulk Operations.
Day 3 -- Audit, Retention, and Compliance
Understand the compliance obligations that govern your work in Praxi.
- Review the audit log -- all financial actions are recorded in an immutable audit trail. Use this for internal reviews and external audit preparation. See Audit Logs.
- Understand data retention -- billing records are retained according to ATO (5 years) and Medicare (2 years) requirements. Praxi handles this automatically. See Data Retention.
- Reconcile funding sources -- match payments from Medicare, DVA, NDIS, and private health insurers against outstanding invoices. See Funding Sources.
Medicare reconciliation
Medicare and DVA payments are the largest single funding stream for most psychology practices. Your role lets you:
- View Medicare claims and payment reports across the organisation (read-only).
You cannot submit, resubmit, or amend claims -- that stays with practitioners and the practice owner.
Day-to-day reconciliation
- Payment report matching -- the BPYW (Bulk Bill payment) and DVYW (DVA payment) reports list the EFT lodgement date, total amount, and per-service benefit. Praxi auto-reconciles these against the originating invoices; you confirm and post.
- Bank statement reconciliation -- Services Australia and DVA pay via separate ABA-coded EFT transactions. Match each Praxi-reconciled batch to the corresponding bank line; small same-day batches sometimes combine.
- End-of-month and EOFY closeout -- the Financial Reports page exports per-practitioner Medicare and DVA totals, useful for profit-share calculations and provider-number-level revenue audits.
GST and BAS treatment
Official ATO hubs (re-verified 2026-07-28): GST and health, other health services (listed services include psychology, physiotherapy, OT, social work, …), tax invoices, BAS.
- Medicare benefits are GST-free (GST Act Subdivision 38-B path). Map the Medicare income account in Xero / MYOB to a GST-free code so full reporting flows correctly to BAS G1 (total sales) and G3 (other GST-free sales) — health is not export sales (G2).
- DVA Allied Health payments are also GST-free.
- Gap / private clinical fees paid by the client for a listed health service by a recognised professional (e.g. AHPRA-registered psychologist) are typically GST-free under the same health rules — not automatically taxable. Edge supplies (court reports, many admin/cancellation fees, retail products, EAP billed to an employer) are often taxable at 10% when the practice is GST-registered.
- NDIS supplies to participants can be GST-free when ATO determination conditions are met (plan in effect, reasonable and necessary supports, written agreement) — see ATO NDIS GST page.
- Praxi period GST reports assist bookkeeping; the practice or tax agent lodges the BAS. Product SSOT:
Export workflows
Praxi exports claim and payment data to CSV from the Financial Reports page, and pushes invoices and payments to Xero or MYOB via the integration when configured. Use the CSV export for spreadsheet reconciliation against the SA portal's online statements.

Accountants can view invoices, create new invoices, export billing data, and run financial reports. You also have read access to staff compensation and expense data for payroll purposes — surfaced through the financial reports and exports rather than the Staff area. You cannot modify or delete invoices, access clinical notes, client health records, or practice settings. This separation ensures compliance with the Privacy Act 1988 and protects client confidentiality.
