Intern Quick Start: Your First Week

Welcome to Praxi. As a psychology intern, you have access to the clinical features you need for your supervised practice, with some important differences from fully registered practitioners. Most notably, your clinical notes must be reviewed and approved by your supervisor before you sign them. This guide walks you through your first week.

Day 1 -- Login, Navigation, and Your Supervisor

Get set up and understand how your account connects to your supervisor.

  • Log in and complete your profile -- enter your provisional registration details and contact information. See First Login.
  • Learn the navigation -- the sidebar gives you access to the Clinical section (notes, sessions, assessments — clients live in Essentials) and the Development section (supervision, CPD). Some sections are hidden or have limited content based on your permission level. See Navigation.
  • Find your supervisor -- your supervisor is assigned by your practice owner. You can see who your supervisor is and their availability in the supervision section. See Intern Management.
  • Set up two-factor authentication -- protect your account with 2FA, which is recommended for all users handling clinical data. See Two-Factor Authentication.

Day 2 -- Note Writing Under Supervision

Learn how to write clinical notes that meet AHPRA requirements and your supervisor's expectations.

  • Write your first clinical note -- use Praxi's structured templates to document sessions. Your notes will be submitted to your supervisor for review and approval. See Creating Notes.
  • Use note snippets -- save time with reusable text blocks for common clinical observations, interventions, and formulations. See Snippets.
  • Understand the signing workflow -- your notes remain in draft status until your supervisor reviews and approves them — you then sign the approved note. Notes must be signed within 24 hours of the session. See Signing and Compliance.
  • Review the audit trail -- every edit to your notes is recorded. Your supervisor can see the full history of changes. See Audit Trail.
Co-Signature Requirement

As an intern, your clinical notes are not considered final until your supervisor has reviewed and approved them and you have signed the approved note. Submit your notes promptly after each session so your supervisor has time to review within the 24-hour signing window.

Day 3 -- Sessions and Professional Development

Run your sessions with confidence and track your professional growth.

  • Manage your calendar -- view and manage your appointments. Your supervisor and practice manager can also see your schedule. See Calendar Views and Creating Appointments.
  • Attend supervision sessions -- regular supervision is tracked in Praxi, including session notes and agreed actions. See Supervision Sessions.
  • Use AI features with care -- you can use AI note assistance and the chat assistant, but remember that all AI suggestions require your clinical judgement and your supervisor's approval. See Agents Overview and Note Assistance.
  • Manage client records -- keep your clients' contact details, referral information, and consent records current. See Client Records and Consent Management.
Intern Permissions

Interns have read and write access to your own clients, notes, and appointments. You can create invoices for your own clients and log supervision sessions. You cannot access other practitioners' notes, delete transcriptions, modify billing settings, or change organisation configuration. Your supervisor has oversight access to all your clinical records.

Medicare claiming as an intern

Your role lets you do the same Medicare tasks as a fully registered practitioner:

  • View your own Medicare claims and their status.
  • Create Medicare claims for your own clients — they queue for your supervisor's approval before submission (see below).

What is different is who Services Australia sees as the rendering provider -- and the approval flow that gets you there.

The supervisor is the rendering provider on the wire

You do not bill Medicare under your own provider number. Provisional psychologists are not eligible to render Better Access items themselves. When you submit a Medicare claim, the wire-level medicalEvent.service.providerNumber is your supervisor's provider number for the location where the service was rendered.

This is correct under Services Australia rules for supervised practice and is built into Praxi's claim adapter -- you do not need to look up provider numbers manually.

The supervised-claim approval flow

  1. You draft the Medicare claim from /billing/invoices/[id] after the session, just like a practitioner.
  2. The claim is queued for supervisor approval instead of submitting immediately. Your supervisor sees it in their approvals queue.
  3. Your supervisor reviews the appointment, note, MBS item, and DB4 consent (for bulk-bill), then approves.
  4. Praxi submits the claim with your supervisor as the rendering provider.

Audit trail

Both you (draftedBy) and your supervisor (approvedBy) are recorded on the MedicareClaimSubmission row. This satisfies AHPRA's audit-trail requirements for supervised billing and is visible in the per-claim audit view.

Item restrictions

Better Access items have eligibility rules based on registration type and endorsements. Some items (for example certain clinical-endorsement-only items) are not billable via supervised practice -- the submit sheet will block them or warn before approval. If you are unsure whether an item is billable under your supervised arrangement, ask your supervisor before drafting.
