Supervisor Quick Start: Your First Week
As a clinical supervisor, you are responsible for overseeing the work of interns and registrars, reviewing clinical notes, and ensuring quality of care across your supervisees. This guide walks you through the Praxi features that support your supervisory role, organised across three days.
Day 1 -- Reviewing Notes and AI Oversight
Your most frequent task is reviewing and approving clinical notes written by your supervisees.
- Log in and orient yourself -- complete your profile, including your AHPRA registration and endorsement details. As a supervisor, you primarily use the Clinical section (notes, sessions, assessments — clients live in Essentials) and supervision features under the Development section. See First Login and Navigation.
- Review clinical notes -- access notes written by your supervisees, add annotations, and approve to meet AHPRA requirements — once you approve, the supervisee is prompted to sign their note. See Reviewing Notes.
- Understand note signing rules -- notes must be signed within 24 hours. Intern notes require supervisor approval before the intern can sign them. See Signing and Compliance.
- Review AI-generated content -- when your supervisees use AI note assistance, review the AI's contributions carefully. All AI suggestions require human approval. See Note Assistance.
Day 2 -- Supervision Sessions and Intern Management
Manage your supervision caseload and track intern progress.
- Manage your interns -- view all supervisees assigned to you, their registration status, and current caseloads. See Intern Management.
- Schedule supervision sessions -- book regular supervision appointments and track attendance. See Supervision Sessions.
- Review the audit trail -- check the history of note edits, access events, and signing activity for your supervisees' records. See Audit Trail.
- Explore calendar management -- coordinate your own clinical appointments alongside supervision bookings. See Calendar Views.
Day 3 -- Compliance Monitoring
Ensure your supervisees meet their regulatory obligations.
- Monitor AHPRA compliance -- track registration renewals, CPD requirements, and endorsement conditions for your supervisees. See AHPRA Compliance.
- Review compliance dashboards -- get an overview of unsigned notes, overdue documentation, and outstanding actions across your supervisee group. See Compliance Overview.
- Understand data retention and privacy -- know how Praxi handles record retention and your obligations under the Privacy Act when supervising across client records. See Data Retention and Privacy Act.
- Configure your notifications -- set up alerts for when supervisees submit notes for review, when signing deadlines approach, and when compliance issues arise. See Notifications.
Supervisors have elevated clinical access that allows them to view and approve notes for assigned supervisees, access compliance dashboards, manage intern caseloads, and manage clinical notes settings. You can create invoices for your own clients and view your own billing data, but you cannot modify billing settings or organisation configuration — those are practice owner responsibilities.
Supervising Medicare claims for interns
Your role lets you:
- View your own Medicare claims and any claims drafted by interns assigned to you.
- Submit Medicare claims for your own clients.
Your provider number is the one Services Australia sees
When an intern's claim is approved, Praxi submits it with your provider
number for the rendering location -- not the intern's. The wire-level
medicalEvent.service.providerNumber is yours. This is correct under Services
Australia rules for supervised practice, and is built into Praxi's claim
adapter.
That means: every claim you approve is, in the SA record, a service you rendered. Treat each approval with the same care as your own billing.
The approval flow
- Your intern drafts a claim from
/billing/invoices/[id]after the session. - The claim arrives in your approvals queue (visible under Supervision and in your notifications).
- You review the appointment, note, MBS item, and DB4 consent (for bulk-bill).
- On approve, Praxi submits the claim with you as the rendering provider.
What to check before approving
- Note matches item -- the session content and duration support the MBS item code chosen (50-minute psychology under 80110, group items, etc.).
- Client eligibility -- the OPVW verification passed and the client has a valid MHCP / referral on file with sessions remaining in the calendar year cap.
- DB4 consent -- for any Bulk Bill claim, valid DB4 v2.1.4 consent is recorded against the appointment (verbal, written, or digital).
- Session count makes sense -- the running session number on the MHCP matches what the note describes.
Audit trail
Both the intern (draftedBy) and you (approvedBy) are recorded on the
MedicareClaimSubmission row, satisfying AHPRA audit-trail requirements for
supervised billing.
Supervision session items (80161, 80162)
These items are for the supervision session itself -- the meeting between
you and your intern -- and are billed by you under your own provider number.
They are distinct from the supervised-client session you are approving on the
intern's behalf. Use the Supervision module (Development -> Supervision) to
log and bill these.
