Downloading Your Data

You have the right to a copy of the personal information your practice holds about you. The portal lets you download that information yourself, at any time — you don't need to email or phone the practice first.

If you'd rather understand the rules behind this first, see Privacy and Security.

What's included

The download contains the information stored under your name in the portal, apart from the items listed under what is not included:

  • Your profile and contact details
  • Consents you've given or withdrawn, with the date for each one
  • Your appointments — past, upcoming, and cancelled
  • Invoices and payment history
  • Tasks, and the names and dates of questionnaires you've completed
  • Documents shared with you (care plans, exercise prescriptions, letters addressed to you)

What is not included:

  • Clinical notes your practitioner has written about your sessions. These are the practitioner's own clinical record. You can ask your practitioner for them directly — most practices will share them on request.
  • Questionnaire scores and screening results. A clinician reviews these with you. Ask your practice if you would like them: they can release your full record after a clinician has reviewed it.
  • Internal practice notes (administrative messages between staff).
  • Records that legally must be kept and aren't yours to remove (for example, Medicare claim history retained for the audit period).

How to download

  1. Log into the portal and open Preferences (from your profile menu in the sidebar).
  2. The portal shows a preview of what will be in your download — what categories of data are included. Take a moment to review it.
  3. Choose your format:
    • JSON is best if you want to feed the data into another system or keep a complete machine-readable copy.
    • CSV opens cleanly in Excel, Google Sheets, or Numbers, and is best for skimming.
  4. Tap the download button — the file saves straight to your device.

You can download a fresh copy any time you need one — there's no limit on how often.

If something looks wrong

If you spot information that's incorrect, you can:

  • Update most profile fields yourself in Settings → My profile.
  • Contact your practice via the Messages page if a clinical detail looks wrong — they'll review and amend.

If you want a complete record erased rather than corrected, that's a separate flow — see Privacy and Security.

Australian Privacy Principles

This download is your portal-side implementation of Australian Privacy Principle 12 — Access. Your practice may have additional records they're required to keep elsewhere (for example, billing systems with Medicare or DVA). Ask the practice if you need a complete cross-system extract for medico-legal purposes; the self-service download covers everything held in Praxi.
